POSITION SUMMARY: The Ethics and Compliance Specialist collaborates with the Manager, Ethics and Compliance and the Ethics and Compliance team to develop, implement and monitor initiatives related to ethics and compliance and to ensure that measures are in place to assess their progress and effectiveness. The Ethics and Compliance Specialist’s primary responsibility is the day-to-day management of the Company’s records and record retention practices, while also assisting across other functions of the Ethics and Compliance program.

PRINCIPLE RESPONSIBILITIES:

  • Assists in the development, implementation, and compliance assurance of standards and procedures relating to how Republic Services and its employees organize, maintain, and dispose of records.

  • Assists in the development of procedures for records classification, inventory management, retention scheduling, records storage and conversion, and vital records and their preservation.

  • Analyzes processes associated with regulatory obligations, industry benchmarks, and organizational requirements, and makes recommendations to ensure compliance and best practices.

  • Collaborates with manager and Legal department to ensure applicable records are retained in accordance with the legal hold process.

  • Assists stakeholders with managing the integration or transfer of records and information for internal reorganizations, mergers, acquisitions, or divestitures.

  • Ensures physical information stored onsite at Company facilities and with third party RIM vendors are stored in a manner that provides appropriate environmental protection and security access controls.

  • Develops and provides technical direction and training on records management practices to field and corporate employees.

  • Coordinates with internal and external stakeholders to facilitate payments on purchase orders, statements of work, and other various payments to vendors as dictated by the needs of all programs within Ethics and Compliance.

  • Prepares and presents various reports to internal and external stakeholders on records management project updates, best practices, program benchmarking, and other various program recommendations

  • Analyzes key performance indicators and prepares reports and recommendations for the Manager of Ethics and Compliance.

  • Provides support to other areas of the Ethics and Compliance program such as, political contribution and engagement compliance, corporate PAC compliance, and various other functions as dictated by the needs of the Ethics and Compliance program.

  • Provides employee enrollment processing, PAC and contribution compliance administration, troubleshooting, coordination with outside compliance organization, database management and reporting for the PAC and corporation contributions.

  • Collaborates with field and corporate teams to assist them in managing their political donation activities in order to comply with applicable laws and best practices. With corporate leadership, provides feedback on compliance policies, controls, and procedures to field teams

  • Collaborates with Director, Ethics and Compliance and Manager, Ethics and Compliance to sustain and continue to develop an effective ethics and compliance program.

  • Assists with the execution of ethics and compliance program initiatives.

  • Performs other responsibilities and projects as assigned or apparent.

QUALIFICATIONS:

  • Bachelor’s degree or other relevant professional certification.

  • Certified Records Manager (CRM).

  • Experience with case management systems and other similar database platforms.

MINIMUM QUALIFICATIONS:

  • Minimum of three years professional records management, data management, legal compliance, or project management experience in a corporate environment.
